Preparing a Trial Balance
Ledger balances, trial-balance extraction, errors, suspense accounts and correction through complete double entry.
How to study ACCA Applied Knowledge
Learn each principle, practise its application in the computer-based exam format and keep the three independent 50% pass decisions visible.
Core concepts
Concept 1
A trial balance lists ledger balances and tests debit-credit arithmetic but cannot detect every accounting error.
Exam cue: Reconstruct the intended entry, compare it with the entry made and post only the difference.
Concept 2
Errors may or may not disturb trial-balance equality depending on whether one or both sides and amounts were affected.
Exam cue: Determine whether the error affects profit, statement classification, trial-balance agreement or more than one.
Concept 3
A suspense account temporarily records an unexplained imbalance and must be cleared by evidence-based correcting entries.
Exam cue: Reconcile the suspense balance to the correcting entries and confirm it closes.
Risk pitfalls and guardrails
Assuming an agreed trial balance proves all transactions are correct.
Guardrail: Do not import a rule, formula or reporting format from memory without checking the period, units, signs, entity and current syllabus scope.
Reversing an entry when only one account or amount needs correction.
Guardrail: Do not import a rule, formula or reporting format from memory without checking the period, units, signs, entity and current syllabus scope.
Clearing suspense with an unexplained balancing figure.
Guardrail: Do not import a rule, formula or reporting format from memory without checking the period, units, signs, entity and current syllabus scope.
Memory anchors
Trial Balance
A trial balance lists debit and credit ledger balances to test arithmetic agreement.
Error of Omission
A complete omission leaves both debit and credit absent and may not disturb agreement.
Error of Principle
An error of principle uses the wrong class of account while double entry may still balance.
Transposition
A transposition reverses digits and may create a difference divisible by nine.
Suspense Account
Suspense temporarily holds a trial-balance difference until the cause is corrected.
Checkpoint rule
Do the check-up only after you can summarize each concept in one sentence and identify one dangerous pitfall from memory.
